The reason why email still exists is because it's a remnant of the time when we didn't have messenger and chat apps. I haven't sent an email to communicate with a friend at least for ten years.
I email everyday for my business. I guess people who don’t own businesses don’t need it, but we have to use it often . It’s not an outdated concept just because you don’t need to use it
I email for business too. I even make phone calls and send the sporadic fax. Doesn't make any of these better or more effective than the modern alternatives available today.

As a matter of fact, most of my business (and I work in a very traditional sector: food) with external parties like clients and suppliers is done via messenger/chat app. Text, voice and documents. Real time calls, including video calls same thing, or via video call software, on a computer or on a mobile phone. Emails are used for group communications like shipping documents, but simply out of habit. Those could be perfectly sent via chat group too. The only reason why email is still used at all is that some older people still believe that their emails are stored locally and that makes them feel safer somehow. Usually it's the same people who like printing the emails out on paper too, occasionally... Email could be 100% dispensed with today and not only there would be no disruption at all in any sense, but productivity would be increased instantly because there is no "oh that one went to spam" excuses to not reply in two weeks...
We use email everyday for our distributors, parts, customers, suppliers, leasers, it’s just apart of our business. hvac is different. and not all businesses are the same. what may work for your business whatever you do, doesn’t work for ours. We email a lot of actual hvac companies, there’s no other way to communicate with our York distributor!
Food Service is much easier to do tasks outside of email, not every business is able to have that privilege. Acting like every business can move away from email is just ridiculous. We use it every single day, all day. Just how it is in HVAC and Refrigeration. I can’t change that and risk messing up our small business.

This is a good idea. The activity pub protocol was based on an idea like this tranlating email (specifically inbox and outbox) to http. That is now a decentralized network used by 10m-100m users. And there is even a bridge to nostr. Since nostr is already a subset of http, so could do it already. A specific version transmitted over relays could work too. Most of the work is done there.
